1. Who is responsible for your data
Proofr provides the platform that photographers use to run their studios. For data about photographers’ own clients, the photographer is the data controller and Proofr acts as a processor on their behalf. For account and billing data of photographers themselves, Proofr is the controller. You can contact us at hello@proofr.space.
2. Data we collect
We collect:
- Account data — name, email, studio details and login credentials.
- Client & project data — information photographers add about their clients, projects, quotes, invoices and contracts.
- Uploaded content — photographs and files you store in galleries.
- Billing data — handled by our payment provider Paddle; we receive limited transaction details, not full card numbers.
- Usage & device data — basic logs, device and browser information used to keep the service secure and working.
3. How we use your data
We use personal data to provide and maintain the service, authenticate accounts, render galleries and documents to the people you share them with, send transactional and notification emails, process payments, prevent abuse, and comply with legal obligations. We do not sell your personal data.
4. Sharing and processors
We share data only with service providers that help us run Proofr, under appropriate safeguards. These include cloud hosting and storage providers, our email delivery provider, and our payment processor Paddle, which acts as Merchant of Record for purchases. We may also disclose data where required by law.
5. Cookies
We use essential cookies to keep you signed in and to operate core features such as sessions and security. We do not use cookies to sell your data to advertisers.
6. Data retention
We keep personal data for as long as your account is active or as needed to provide the service. Galleries and content follow the lifecycle and expiry rules of your plan. When you close your account, we delete or anonymise your data within a reasonable period, except where we must retain it for legal or accounting reasons.
7. Security
We use industry-standard measures to protect your data, including encrypted connections, access controls and per-account data isolation. No system is perfectly secure, so we also encourage you to use a strong password and keep your credentials private.
8. Your rights
Depending on your location, you may have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing. To exercise these rights, email hello@proofr.space. If a request concerns data held on behalf of a photographer, we will direct it to the relevant studio as the controller.
9. International transfers
Proofr operates globally and may process data in countries other than your own. Where we transfer data internationally, we rely on appropriate safeguards as required by applicable law.
10. Changes to this policy
We may update this policy from time to time. Material changes will be notified by email or in-app, and the “last updated” date above will change.
